How Singular works, in detail.

Everything you need before deciding: how it works, integrations, security, timeline, measurement, contract.

Overview

Singular builds, for each company, software that does the repetitive admin work: read and sort emails, request documents, prepare quotes and replies, follow up, keep files up to date. The team approves what was prepared.

Who it is for

Companies of 10 to 200 people whose teams spend a large share of their time on repetitive admin: insurance and mortgage brokers, property managers, distributors, technical services, financial services.

No in-house IT team is needed.

What you get

Software built on your rules, connected to your tools, with an interface where your team approves in one click.

A time-saved target written before we start, and a report every week.

What we do not do

No websites, no apps your team has to fill in, no day-rate billing, no projects for fewer than 10 people.

How it works

Every request follows the same cycle, from arrival to a finished, logged action.

1. Intake

Read

Singular reads what arrives in your usual channels: emails, attachments, PDFs, photos, forms, transcribed voicemails.

2. Understanding

AI

It identifies the intent (documents sent, price request, question, complaint), finds the client and the file, and extracts the useful information.

When it is not sure, it says so and hands you the request instead of guessing.

3. Preparation

Rules

It prepares the action set by your rules: file a document, request a missing one, draft a reply, prepare a quote, schedule a follow-up.

4. Approval

Human

Depending on the rule, the action runs on its own or waits for your approval. Sensitive matters (disputes, formal notices, bank detail changes) always go through a person.

5. Execution and log

Log

The action runs in your tools and is written to the log: what, when, on which data, approved by whom.

Reading, sorting, linking to the right client and file.

Missing documents

Document lists per file type, checks, requests.

Follow-ups

Email and SMS sequences that stop as soon as the client replies.

Quotes and documents

Generated from your templates, sent for e-signature.

Call notes

Calls and meetings summarized, tasks added to the file.

Weekly report

Actions taken, time saved, items to watch.

Autonomy levels per task, sensitive matters blocked.

Rules and autonomy levels

You decide, task by task, what Singular does on its own. Rules can be changed at any time.

On its own

Level 1

For risk-free tasks: file a document, acknowledge receipt, answer “where is my file”.

To approve

Level 2

The action is prepared; you approve or edit it in one click. This is the default setting at launch.

Never

Level 3

Some actions are forbidden to the software whatever the rule: for example, changing bank details.

Earning trust

A task approved many times without edits can move to “On its own”. You always decide.

Integrations

Singular connects to what you already use. We check each connection during the assessment, before any commitment.

Email

Mail

Microsoft 365 (Outlook), Google Workspace (Gmail), or any standard mail server (IMAP / SMTP).

Documents

Files

SharePoint, OneDrive, Google Drive, file servers. Documents are filed where your team already looks for them.

Business software, CRM, ERP

API or export

Direct connection when the software allows it (API), otherwise file import and export, or prepared entries to approve.

Signature and delivery

Optional

E-signature, SMS, PDF generation from your templates.

Spreadsheets

Excel

Excel or Google Sheets files used as references (prices, lists, trackers) can be read and updated.

Security and data

The rules that apply to every installation, without exception.

In your accounts

Ownership

The software runs in accounts in your name. The code, the automations and the data belong to you.

Least access

Access

Each connection only has the rights its task needs. Access is listed and can be revoked at any time.

No model training

AI

Your data is never used to train an AI model. The AI provider and the processing region are named in writing in the agreement, before anything starts.

Full log

Traceability

Every action is written to the log and can be reviewed: what was read, prepared, sent, and who approved it.

GDPR

Contract

A data processing agreement (GDPR article 28) is signed with every client. Personal data is only kept as long as needed.

Reversible

Exit

If you stop, you keep the software, the code and the documentation. No lock-in.

Project timeline

A first piece of software live in three weeks, then one task after another.

30-minute call

Day 0

We look at your tasks together. You leave with a written summary, whether you work with me or not.

Assessment

5 days

Map of time spent per task, three costed projects, a demo on your real files, a written time-saved target. Fixed price, deducted from what follows.

Build

3 weeks

The software is built and connected to your tools. A short check-in every week. Launch in “approve everything” mode.

Go-live

Week 4

One-hour onboarding with the team. The weekly report starts.

Ongoing

Monthly

Hosting, monitoring, adjustments. When the target is met, we move to the next task.

Measuring time saved

Time saved is not an estimate: it is calculated from what the software actually did.

Reference time

During the assessment, we measure how long each task takes by hand (for example: requesting a document, 6 minutes).

Counted actions

Every action Singular runs is counted in the log, per task.

Calculation

Time saved = number of actions × reference time. The detail is visible in each weekly report.

Pricing and contract

A fixed price, known before we start. No time-and-materials billing.

Assessment

Fixed price

Paid on order, deducted from setup if you continue within 30 days.

Setup

Fixed price

Paid upfront (part on signature, the balance at go-live) or monthly.

Maintenance

Monthly

Hosting, monitoring, fixes and adjustments. No commitment after three months.

Guarantee

Result

If the time-saved target is not met 30 days after go-live, I keep adjusting the software at no extra cost until it is.
